FREELANCE ADMINISTRATION OFFICER (remote / home based)

DG Unlimited (DGU) is offering an exciting opportunity to join our team as a freelance Administration Officer.  DGU offer flexible hours working hours for this remote, home working role. The successful applicant will work the equivalent of 2 days per week to deliver the commission, with a fee of £105.00 per day inclusive of travel and VAT.  Initially for a period of 6 months, there will be opportunity to extend the commission subject to funding.
 
Background
 
DG Unlimited (DGU) is an exciting sector-led organisation with a growing membership of over 500 artists, creative practitioners, and supporters of the arts. Membership of DGU is free and open to anyone with an interest in the arts. We work with and on behalf of our members and the region’s creative sector and have a strong partnership links with culture, arts and community organisations in Dumfries and Galloway.
 
Structure
 
DGU is the operating name of the Dumfries and Galloway Chamber of the Arts, a Scottish Charitable Incorporation established in 2013.  DGU’s day-to-day work is supported by three freelance commissions:

Commission Brief/Key Tasks
 
We are seeking an energetic and proactive Administration Officer who will work with our Trustees and all members of the freelance team. This commission offers a varied and valuable opportunity for someone who wishes to work with DGU in promoting creative practitioners, showcasing the value of arts and culture to Dumfries and Galloway, and supporting key strategic development.
 
You will work across DGU projects and will possess strong administrative and organisational skills. Access to office equipment, e.g., PC/laptop, MS Office, printer etc., for home working is essential.

Key Duties
  • Co-ordinate, attend, prepare papers, take, and circulate the minutes for company Board meetings and AGM or any EGM or Board meeting as required, on or offline.
  • Attend, co-ordinate, and minute monthly team meetings and bi-monthly pArtners Group meetings, on or offline.
  • Be the first point of contact for all general email enquiries.
  • Assist in the management of DGU’s shared electronic filing network. Assist with the maintenance DGU’s members database with a proven knowledge of GDPR and Data Protection.
  • Assist with the organising and management of events including booking venues, overseeing technical requirements, liaising with speakers, presenters, and trainers.
  • Assist with production of reports to funders and partners.
  • Assist in the administration of funding schemes (Regional Arts Fund, Remembering Together, Innovate Create Cultivate), including but not restricted to the following:
                     -  Processing and logging application submissions when required.
                     -  Recording panel decisions.
                     -  Maintaining an overview of payment, monitoring, and reporting timescales.
                     -  Collecting and collating data to measure impact of awards.
                     -  Contribute to annual reports for awards schemes.
 
Essential Skills, Knowledge, and Experience
 
  • Excellent written and oral communications skills with the ability to write clearly, accurately, and professionally for a range of audiences. Experience in concise minute taking.
  • Excellent organisational and planning skills, and experience of providing events support.
  • A clear understanding of confidentiality, especially in relation to personal data and GDPR.
  • Ability to work under pressure and to tight deadlines.
  • Demonstrable knowledge of database management/data entry.
  • Thorough, proven, business-based knowledge of Microsoft Office 365, including Word, Excel, PowerPoint, Microsoft OneDrive, and other online file sharing software.
  • Ability to work as part of a remote team, with minimum supervision, to exercise a high degree of initiative, and a willingness to be flexible.
  • A clean full current driving licence is desirable.
